Automated Document Processing & AI-Assisted Review Disclosure
Effective June 2026
This Disclosure explains how D.O.X Capital uses artificial intelligence and automated processing to assist its services.
1. Purpose and tools
D.O.X Capital uses a third-party large-language-model provider to assist our team with document review, extraction, classification, summarization, drafting, comparison, search, and quality checks within the workspace. The tool is not a human and is identified at the interaction or processing point where appropriate.
2. Data inputs and sources
Inputs are the documents, messages, and deal information you or your authorized representative provide, together with our own records. Do not submit passwords, payment-card data, Social Security numbers, health, biometric, precise-location, child, or other sensitive information unless the workflow expressly requests it and applicable controls and consent are present. Minimize and redact before processing.
3. Vendor use, training, and geography
We instruct our AI provider to process your content only to perform the requested task, and we do not authorize the provider to use your prompts, files, or outputs to train general-purpose models beyond what is necessary to deliver the service; the provider's own terms also apply. We do not promise "no training" or "no human review" beyond what our configuration and contracts support.
4. Limitations
Automated systems may fabricate, omit, misclassify, misunderstand, reproduce bias, or rely on incomplete or outdated information. Performance may vary by language, disability, document quality, or demographic. Output is not authenticated merely because it appears confident or cites a source.
5. Human review
A member of the D.O.X Capital team reviews AI-assisted output before it is used to inform a decision about your engagement; we describe review as occurring only where a trained person actually reviews the relevant input and output. You may request correction or human assistance by contacting admin@thedoxs.com.
6. No professional advice or sole reliance
AI output is not legal, tax, accounting, investment, lending, credit, medical, employment, or other professional advice and should not be the sole basis for a consequential decision. Verify material facts and consult qualified professionals. A disclaimer does not cure regulated or discriminatory automated conduct.
7. Consequential decisions
We do not use AI output as the sole automated basis for a decision that produces a legal or similarly significant effect on you — such as credit, employment, housing, insurance, education, healthcare, or benefits — without the role, factors, human decision-maker, correction route, explanation, appeal, and any opt-out or alternative that applicable law requires.
8. Profiling and privacy rights
Where privacy law applies, you may have access, correction, deletion, opt-out, consent-withdrawal, profiling, explanation, or appeal rights, as described in the Privacy Policy and configured by jurisdiction.
9. Fairness, testing, and monitoring
We test and monitor AI-assisted workflows for validity, reliability, security, accessibility, and performance, document their limitations and intended use, and monitor for drift, complaints, overrides, and disparate outcomes. We do not claim the system is "unbiased," "objective," or error-free.
10. Manual alternative
Where AI assistance is optional or where law requires, you may ask that a D.O.X Capital team member handle your matter without AI assistance by contacting admin@thedoxs.com. Declining optional AI processing does not cause you to lose unrelated service access.
11. Children and teens
We do not enable child- or teen-facing AI, and we do not design any tool to cultivate emotional dependence or to misrepresent it as a person.
12. Security, retention, and incidents
We apply access control, encryption in transit, vendor review, logging, and incident response appropriate to the risk, and retain prompts, files, outputs, and logs only according to the Data Retention & Deletion Policy, including backup and legal-hold rules. No security control guarantees prevention.
13. Point-of-use notice and consent
Before sending files to an AI vendor where a notice or consent is appropriate, we provide a concise notice identifying the AI role, purpose, major limits, data treatment, and human-review status, obtain separate consent where law or optional processing requires it, and preserve the versioned notice, action, timestamp, and any withdrawal.
