Refund, Cancellation & Fulfillment Policy

Effective June 2026

This Policy applies if D.O.X Capital accepts payment for services, memberships, digital deliverables, or other offerings. The material commercial terms of any paid engagement are set out in your written engagement agreement.

1. Scope and transaction record

This Policy governs paid transactions with D.O.X Capital. Your order confirmation or engagement agreement identifies the service, price, taxes and fees, expected fulfillment, client dependencies, cancellation method, and material refund terms. If an order or statement of work gives more favorable transaction-specific terms, those terms control for that order. Nothing in this document excludes, restricts, or modifies a right or remedy that applicable law does not permit the parties to modify.

2. Order acceptance

Submission of payment information is an offer to purchase, not confirmation of acceptance. We accept an order after payment authorization, required assents, scope validation, and an order confirmation. We may reject or cancel an unlawful, fraudulent, duplicative, technically infeasible, mispriced, or out-of-scope order. If we cancel before providing value, we will void or refund the affected charge as required by law.

3. Cancellation before work begins

To request a cancellation, email admin@thedoxs.com with your order identifier. A request is effective when received through that channel and assigned a timestamp. If we receive it before work begins or a committed third-party cost is incurred, you are eligible for a refund to your original payment method, subject to any processing fee that is lawful and was presented before purchase. No universal cooling-off period is promised unless required by law.

4. Cancellation after work begins

For consulting or customized work, we may retain the portion of the fee reasonably attributable to completed milestones, time, nonrecoverable third-party costs, and deliverables already provided, but only where that allocation and any deposit treatment were clearly disclosed before purchase and are lawful. We will provide an itemized explanation on request. A label such as "nonrefundable" does not eliminate nonwaivable rights or excuse failure to provide the promised service.

5. Fulfillment and delivery

Expected fulfillment timing is stated in your order and is subject to your dependencies, such as providing accurate information, timely documents, and access to a decision-maker. Unless expressly guaranteed in the order, dates are estimates. You must keep contact information current and promptly review requests for information. We will not deem an undelivered item fulfilled merely because an email was sent to an invalid address when we knew delivery failed.

6. Client delay and scope changes

A client delay, inaccurate information, unavailable decision-maker, or requested scope change may pause the schedule. We will identify the effect on timing, fees, and deliverables before continuing where material. A scope change after purchase requires a written change order or other bilateral acceptance; this Policy does not authorize a unilateral reduction in deliverables.

7. Failed or materially deficient fulfillment

If we do not deliver the purchased service, or a deliverable materially fails the written acceptance criteria, notify admin@thedoxs.com with the order identifier and the specific issue. We may first offer correction, re-performance, replacement, or completion within a reasonable period when appropriate. If that remedy fails or is not appropriate, we will provide the refund or other remedy required by the order and applicable law.

8. No-guarantee outcomes

A third-party decision, lender denial, inability to obtain financing, or a result different from your goal is not by itself a failed fulfillment when the purchased service was a defined consulting effort or deliverable and we performed it. This does not permit us to misstate the service, hide material limitations, or retain payment for work not performed. Outcomes and fulfillment are assessed against the exact order description.

9. Digital and customized deliverables

Before purchase, we disclose whether a digital or customized deliverable becomes non-cancellable after download, access, customization, or performance begins, and we obtain any consent applicable law requires. The presence of a downloadable file does not automatically eliminate a refund right. Defective, corrupted, inaccessible, or materially incomplete files will be re-delivered or remedied.

10. Memberships and recurring charges

Cancellation of a future membership or subscription renewal is distinct from a refund of a prior charge. Where recurring billing is enabled, the Subscription & Automatic Renewal Terms govern renewal and cancellation, and the cancellation route is simple and available by emailing admin@thedoxs.com. A cancellation confirmation states its effective date, future-charge status, remaining access, and any refund.

11. Refund timing and method

Approved refunds are sent to the original payment method unless law permits and you agree to another method. We process approved refunds within a commercially reasonable period — typically within ten (10) business days — plus your financial institution's posting time. We will not substitute store credit for a legally required cash or payment-method refund without valid consent.

12. Duplicate, unauthorized, and fraudulent charges

Report a duplicate or suspected unauthorized charge promptly at admin@thedoxs.com. We may request information reasonably necessary to locate and investigate it, but we will not ask for a password or full payment-card number. We may suspend affected services while preventing further loss. Nothing here limits your rights under payment-card or electronic-funds-transfer law.

13. Chargebacks and disputes

Contacting support is encouraged because it may resolve an issue quickly, but it is not a waiver or a mandatory prerequisite to a nonwaivable dispute right. Do not submit a knowingly false chargeback. We may provide the processor with the order, delivery, communication, and acceptance evidence reasonably necessary to respond, consistent with the Privacy Policy.

14. Point-of-sale disclosure

Before the final payment action, we display the total price, the one-time or recurring nature of the charge, the core deliverable, expected timing, cancellation method, material refund restrictions, and a conspicuous link to this Policy. A receipt repeats the material terms and provides a durable policy copy or link.
